Anyone here ever took part in organising a track day?

    I'm wondering if anyone here would know what, in general, organising a track day entails? What to take care of, what's important, etc. etc. They're not very popular in Poland, to be honest I've never even heard of one taking place, but I think the country/society is warming up to such events - especially with Kubica starting in F1 :D

    Anyway... any help, info or guidance would be greatly appreciated - I haven't got any experience in organising such events, but would love to get things moving over in Poland, especially since cars are my life's passion ;)

    For starters, talk to the track you're interested in using and see what their requirements are.

    I have..it was just Two Parts really..

    Track Rental covers the facility, corner workers and emergency response teams (ambulances)...

    Then usually the Track will want an event specific insurance rider in addition to the normal insurance they have on the facility itself, this was in my case a few years ago, about $1K for a one day event...

    It's really easy. Rent the track, hire the staff the track doesn't supply, get some insurance, sell your spots!

    No I am sorry, to cover the whole EVENT, all attendees....so as B-mak implies it's kind of like showing a movie, you rent the track, get required insurance and then SELL as many participants tickets as you can.....

    The other thing that IS required that adds a lot is to partner with the Prsche or Ferrari Club to come up with some Instructors.

    These guys ride with your guests and show them how to increase their comfort levels at the outer edges of their skills, that way improvement behind the wheel occurs.....

    And then catering, you gotta have some babes making some food for Lunch!

    IIRC, the track was $2,500 one day or $5K for Saturday and Sunday......this has been some years ago.....

    In the US/ Florida you can usually get the SCCA to supply very competent event staff for a contribution and a beer party

    Correct, the SCCA are always a welcome addition and the San Jacinto Crash Rescue Team here, is top notch....the OP is in Europe though...

    First order of business is to reserve a day far in advance at the circuit you wish to host the event. Most circuits are booked far in advance, so that is the most time-sensitive aspect. Two permanent circuits you might try:

    Tor Kielce
    26-085 Miedziana Góra
    Poland

    Tor Poznan
    62-081 Przezmierowo
    ul. Wyscigowa 3
    Poland

    Often, marshals and insurance (if required) can be arranged through the track or your national or regional motorsport association.

    Then, put together a daily schedule to assure each participant of structured track time (don't make it a free-for-all, divide the entrants up as equally in numbers as you can and assign them to particular time slots on track.) Often you can divide by experience, horsepower or both.

    Arrange for lunch or a meal mid-day or the evening before and the evening after. The better each participant knows each other, the less likely there are to be problems.

    Conduct a drivers meeting with required attendance before anyone goes out, explain the rules and enforce them, quickly and equitably. People like order and generally behave if asked to. Those who can't must be removed right away.

    The Poznan track is the one I'm aiming at - BTW did you find those through the Internet, or do you have any personal experience with the Polish automotive scene?

    As for booking the track - fortunately (unfortunately) the Poznan track really doesn't seem to be too busy. I must say it seems like it's main purpose is hosting used car sales twice a week (unless there's an "ever so rare" track event on Sundays).

    I'm not sure if the car scene here is mature enough to hold an event that would justify renting the track for a whole day - don't know if I'd be able to fill the spots to break even. A whole day event would make sense during the weekend, but then again weekend prices are obviously higher. You have to take into consideration the Polish aren't as wealthy as the western Europeans or Americans and don't have the same level of disposable income, so I would have to keep the price at a reasonably low level. Hence I'm thinking of renting it for an hour or two - extra catering, hostesses etc would mean extra costs, although maybe I could get some back through event sponsorship.

    That was covered under the "staff that the track doesn't supply" part. I hope Europe doesn't suffer like we do here with all those volunteer club instructors.

    I did find it through my Euro connections. I have no experience other than US, UK or Italian tracks.

    I think the best thing might be to advertise among the car club scene and see what kind of response you get, then go from there. I'm sure with Kubica's success, that has supercharged the sports car scene in Poland. Good luck.

    That is more or less what I'm doing - or starting to do. Car clubs aren't so popular (or formalised) over here as further to the west, so it's more a case of probing internet forums.
