It is easy with 1 or 2 vehicles, but honestly I have a hard time with 7. I know that is not a lot and only 3 are cars, but we also have 4 motorcycles. I have clipboards for each, so that I don’t have to log in and check spreadsheets. However, I still find it hard to keep on top of it all. How do you guys do it? Especially you guys with collections.... :D

I have a folder with all the receipts and a spreadsheet of the maintenance

Twice or three times a year I review and see what is needed and plan accordingly

Since I do most of the work myself I try to schedule multiple vehicles on the same day/week so that the maintenance is aligned

After 6 vehicles though this may not work

Have you look into an application like simply auto .. I was looking at it ..give it a try

You ask a good question! I keep a spread sheet with tabs for each car. On one axis I have the year on the other I have items such as oil change, or brake fluid change, or engine rebuild, etc. I just check off the boxes, thus, I can see the history in a semi graphical representation and see if I am missing anything. I have actually been really bad about updating the spreadsheet over the past few months as I got too busy. I need to get back to my homework!

That would be tough to do. I might keep a large whiteboard on the wall and make notes and then periodically transfer to a spreadsheet. I was thinking about adding one of these to my garage wall but have yet to do so.

Seven labeled boxes for receipts or maybe a dedicated work cabinet with labeled drawers?

I did some playing around on the simply auto app ..looks pretty darn good .. has a app for phone and one for PC

With a little work you can input all services due for each car and it will remind you

It has a place to add services so you have a record including copies of the documents (receipts etc)

The free version has a few limitations but the app is only 5 10 doallrs

May need a little setup but looks like it would be worth it

Even prints reports and backup to cloud

I use the app Car Minder. It keeps track of any parameter you set up.
But I also keep meticulous records via spreadsheet and paper files.

Thanks for the ideas guys. I will take a look at the apps to see what they are like. I also like the thought of just doing maintenance at certain times of the year regardless of mileage (as long as you will not be over). Typically if I were to do 2 sets of maintenance per vehicle, it should be plenty. My one vehicle might need 3.

Excel spreadsheet for each car. Reoccurring stuff like oil, diff, coolant changes listed across top with dates of service. Then maintenance items in chronological order. Sheet goes on top of receipts arranged in same order. One folder for each car.

The plan is as follows. Have a whiteboard so I can write down the last thing done to each vehicle. Then have clipboards for each vehicle with a list of what was done....... and I will schedule the maintenance for specific times during the year.... possibly spring and fall for all the vehicles.

5 cars.. i use a marker and write everything down on a big mirror in the garage. Then each car has an album full of receipts and pictures.
