Letter writing help again....

    Its that time again, when I have to write a letter to an executive. My letter writing skill is awful, so Im asking for your help again.

    Here is my situation: November 2006, we signed up w/ a software provider and agreed that we will be needing a 3-user license as we were intending to fully utilize their software. We were able to use said software briefly - 1.5 weeks only due to some setbacks that we experienced such as hiring data entry personnels, finding a suitable office location. I now want to request software provider to waive some of the fees associated w/ the 3-user license considering that we never fully utilized their software. I have referred several businesses to them in the past, mostly family-owned businesses (relatives) and some friends. These referrals continue to use their software to date.

    How can I nicely/respectfully mention about said referrals without putting it in the software provider's/company owner's face? Ill be happy if they waive portion of the total cost. We still intend to use their software by next week and it will be for the long haul.

    It sounds to me like any fee waivers that you get will be entirely dependent on the generosity of the software provider. It sounds like your best/only approach is really one of pity, laced with the prospect of future business for this software provider. Just explain exactly what happened (like you did here, but in more detail) and how much you value the software. At this point, you can sprinkle in the referrals that you've given based on how much you like the software this provider offers.

    You can ask, but it would truly be a gesture of goodwill on their part to give it to you. As far as I can tell, the reasons you gave for non-use were your responsibility (hiring, new office locale, etc), and not under their control. When you buy a car and don't drive it for a month, the dealer doesn't extend your warranty a month for non-use.
